This policy explains what personal data Western Wear collects, why we collect it, how long we keep it, who we share it with and how you can control it. We collect only what we genuinely need to run the store well.
1. Information you give us
- Identity and contact details: name, email address, phone number.
- Delivery details: shipping and billing address, pin code, landmark.
- Order details: products, sizes, quantities, order value, coupons used.
- Account details: login email and authentication data (passwords are stored only as salted hashes and are never visible to us).
- Optional inputs: preferences you share in promotions or surveys, such as the shopper profile you select on our spin-and-win form, plus reviews and photographs you submit.
- Support correspondence: emails, chat messages and call notes.
2. Information collected automatically
- Device and browser type, operating system, screen size and language.
- IP address and approximate location derived from it.
- Pages viewed, products viewed, cart activity, referring source and session duration.
- Cookies and similar identifiers used for the cart, login session and analytics.
3. Payment information
Card, UPI and net-banking details are entered directly into our PCI-DSS compliant payment gateway. We never see or store your full card number, CVV or banking password. We receive only a transaction reference, the payment status, the method used and the last few digits needed for reconciliation and refunds.
4. How we use your data
- To process, pack, ship and deliver your orders and to handle returns and refunds.
- To send transactional messages: order confirmation, dispatch, delivery and refund updates.
- To provide customer support and to keep a record of your requests so you do not have to repeat yourself.
- To send marketing emails about new arrivals, offers and recommendations where you have consented, personalised using your selected shopper profile and purchase history.
- To detect and prevent fraud, coupon abuse and payment risk.
- To measure and improve the store: which products sell, where customers drop off, which pages load slowly.
- To meet accounting, tax and other legal obligations.
5. Legal bases for processing
We process personal data on these grounds:
- Contract: to fulfil the order you place with us.
- Consent: for marketing emails and non-essential cookies. You may withdraw consent at any time.
- Legitimate interest: to secure the site, prevent fraud and improve our products and service.
- Legal obligation: to keep invoices and tax records for the periods required by law.
6. Cookies and tracking
We use three categories of cookies and similar technologies:
- Essential: cart contents, login session, security and checkout. The site cannot function without these.
- Analytics: aggregated statistics on traffic and product performance.
- Advertising and measurement: tools such as the Meta pixel and similar conversion-measurement services help us understand which campaigns lead to purchases and show relevant ads. Where required, these fire only after you consent.
You can clear or block cookies in your browser settings and opt out of personalised advertising in your account settings on the relevant ad platform. Blocking essential cookies will break the cart and checkout.
7. Email tracking and analytics
Our marketing emails may contain a small invisible image and tagged links that tell us whether a message was delivered, opened or clicked. We use this only to measure campaign performance, stop sending to inactive addresses and improve content. You can prevent open tracking by disabling image loading in your email client, and you can stop all marketing email using the unsubscribe link in any message.
8. Who we share data with
We do not sell your personal data. We share the minimum necessary with service providers who work on our behalf under confidentiality obligations:
- Courier and logistics partners — name, address and phone number for delivery.
- Payment gateways — transaction data to process payments and refunds.
- Email service providers — email address and name to send our messages.
- Hosting, database and analytics providers — to run and monitor the website.
- Advertising platforms — hashed, pseudonymised identifiers for conversion measurement.
- Professional advisers and authorities — where disclosure is required by law or to defend a legal claim.
9. Data storage, transfer and security
Data is stored on secure cloud infrastructure with access limited to authorised team members on a need-to-know basis. Transfers between your browser and our servers are encrypted using HTTPS, database access is credential-controlled and access keys are stored as server-side secrets, never in front-end code. Some providers may process data on servers located outside India under contractual safeguards.
No system can promise absolute security. If a breach occurs that is likely to affect your rights, we will notify affected users and the relevant authority as required by law.
10. How long we keep data
- Order and invoice records: as long as required by tax and accounting law.
- Account data: while your account is active, and for a reasonable period afterwards.
- Marketing contact data: until you unsubscribe, after which we retain a suppression record so we do not contact you again.
- Support correspondence: typically up to three years.
- Analytics data: in aggregated or anonymised form after the retention window.
11. Your rights
- Access a copy of the personal data we hold about you.
- Correct data that is inaccurate or incomplete.
- Request deletion of data we no longer need to keep for legal or accounting purposes.
- Withdraw marketing consent at any time.
- Object to or restrict certain processing.
- Request your data in a portable, machine-readable format.

12. Children's privacy
Our store is not directed at children under 18. We do not knowingly collect their personal data. If you believe a child has provided information to us, contact us and we will delete it.
13. Changes to this policy
We may update this policy as our services or legal obligations change. The current version is always published on this page with its updated date. Material changes affecting how we use your data will be communicated by email or a notice on the site.
